Online/Offline Privacy Notice

This privacy notice applies to Eastern Claims Service, Inc. These terms do not apply to the independent adjusters which handle claims as self-employed independent insurance adjusters, our clients or third-party vendors as we have no control over their data. Information collected by these independent insurance adjusters on our behalf and transferred into our system electronically are part of this provision. This privacy notice discloses the online and offline privacy practices of all information regardless of type of information, written or otherwise.
The information below will notify you of the following:
- What information we collect;
- With whom it is shared;
- How it can be corrected;
- How it is secured;
- How policy changes will be communicated;
- Other Provisions as Required by Law;
Information Collection, Use, and Sharing
We are the sole owners of this information collected until such time as it is transferred by our “work product” to another. This information” becomes part of our “Documents and Tangible Things” known as “Work Product.” Fed. R. Civ. P. 26(b)(3)(A) makes it clear that documents produced by non-attorneys may also enjoy work product privilege of Documents and Tangible Things. We only have access to/collect information provided to handle your claim. We will use your information to respond to you, regarding the reason you contacted us. We will not share your information with any third party outside of our organization, other than as necessary to fulfill your request, handle your claim, provide other services, or as required and by law.
Your Access to and Control Over Information We Collect
Once information is obtained and/or presented to us, our “work product”, ex. reports, photos, estimates and any other information regarding your claim are transferred to your insurance carrier and becomes their “work product”. Any dissemination of that information is up to your specific insurance carrier. Any requests for this information should be directed directly to your insurance carrier. However, we will provide any information directly if your carrier requests we release such information. We will also cooperate with lien holders in need of adjuster worksheets, estimates etc. unless you specifically inform us in writing not to do so. If you need to update or correct information previously sent, please do so by emailing us at email@example.com
We share only personal information needed to handle your claim with your insurance carrier, their representatives, any other person you authorize, and any civil authority as required by law.
We "do not share" specific claims data or intellectual property from one insurance carrier to any other insurance carrier.
We sometimes use third party vendors for various reports needed to complete the claims investigation and process. We are not aware if these companies retain, share, store or use personally identifiable information for any secondary purposes beyond obtaining the report. Ex. Roof measurement services, lightning verification reports and hail reports.
We take precautions to protect your information. When you submit sensitive information via the website, fax, in person, US mail, delivery service or email, your information is formatted electronically into data and stored accordingly. Wherever we collect this data, the computers/servers on which we store personally identifiable information are kept in a secure environment. On Call Networking Solutions maintains these devices with their security various security protocols. As a paperless organization, we covert all paper documentation as into electronic data. Paper copies are shredded. We store all electronic claims data collected in our claims management system, FileTrac. They contractually back up all data and provide security protocols as well.
